The paperless office

The paperless office is the dream of all companies. However, this is a tall order for organizations because they must be committed to the environment and technology. As a company, do we have what it takes to join in and actively participate in this new age? What can we do to reduce the amount of waste and the daily consumption of materials, while increasing our efficiency?

The environment is one of the main concerns of our company. It also has a direct impact on how companies work and is at the centre of their activities. We are increasingly asked to contribute. Recycling containers are everywhere in our office. Furthermore, some organizations (such as Desjardins, Hydro-Québec, and others) encourage their customers to recycle, save energy, save paper, etc. These companies have asked us to send documents (invoices, payments, etc.) by e-mail and other electronic methods, rather than by regular mail.

To follow the lead of these larger companies, Maestro has adopted this practice in recent years. The team has worked to improve the product to ensure that many types of transactions can be sent directly from the application. Maestro*, the product, is ready to help its users in this area.

From version 3.01 and later, you can send the following documents securely by e-mail or fax:

  • customer orders
  • supplier orders
  • the various invoices generated by the system
  • employee payslips
  • customer statements

You can also:

  • pay invoices by bank transfer
  • issue electronic service orders before or after the work

Maestro* also has various interfaces to exchange data electronically (EDI) with various suppliers.

In addition to these functions, options like Contact Management, Document Management and Mailing Configuration allow you to quickly and easily send a wide range of documents electronically from the Maestro report viewer, in mass or individual mode.

As with any restructuring or implementation project, setting up these functions is a project in itself. Doing so requires preparation and an implementation effort that includes training, tests and a breaking-in period. In exchange, as well as providing your company with a technological advancement, these functions allow you to optimize your operations, while improving management.

Maestro, the company, has adopted this "electronic" route for its internal management. The various functions available in the application allow users to manage various transmissions faster with a gain in productivity, less paper used, fewer mailings and other benefits.
