Remote interventions: an efficient communication method

Having quick and easy access to information when every minute counts is important. Answering or receiving answers as quickly and efficiently as possible, at the lowest possible cost, is also indispensable for increasing the efficiency and profitability of your work. How can you do this effectively? Meetings are great for people in the same general area. What can you do when distance separates you from your contact?

Remote communications

Thanks to the magic of the Internet and remote communications, it is possible to meet the standards established by various customers more effectively. External customers usually expect fairly quick resolutions and a high level of understanding of the problems they encounter. More technological than standard communication tools, such as the telephone, fax or e-mail, new applications now let you communicate much more effectively and make the task much easier.

There are many advantages to this:

  • the elimination of expenses associated with travel and accommodation
  • better understanding if an appropriate visual medium is used
  • the ability to send information to more than one person, in different locations, at the same time
  • the speed with which various people can contact each other
  • etc.

On-line meeting Web service

Regardless of the communication method used, it is certain that most fast communication is over the Internet. Without the Internet, many technological applications are inaccessible today. Without mentioning e-learning or Webinar for now, some tools, such as GoToMeeting, Live Meeting and LogMeIn make it possible to log on and review the situation in question with your contact in real time. In addition to making it easier to understand a problem quickly, the other person can watch the corrective intervention and repeat it later, if necessary.

In the software industry, as with maestro*, some problems are related to the actual use of the application. Specially trained customer service agents encounter hundreds of cases on a daily basis. This type of tool can be used to provide remote training to people and even to detect bugs in specific applications. This makes it much easier to understand and decreases the time required to handle more complex problems that have not been reproduced internally.

In the same way, Maestro organizes group training and remote presentations for different types of users. They can receive the same training as other people by participating in an interactive session. The number of kilometres separating the instructor from students is no longer relevant since the participants no longer need to travel to the training location. From Abitibi to western Canada, everybody has quick and easy access to a qualified instructor in his office in Varennes.

Extranet

With today’s Web sites with increasingly developed content, much of the information can also be updated and serve various audiences. For example, many sites have a section that is exclusively restricted to their customers. These sections can be used for special communications and to provide information in real time on certain topics. For example, Maestro uses the extranet portion of its Web site to provide its customers with information on the status of requests sent to the software support department or any other person in the company. As a result, customers can determine the status of their requests at any time.
